绝大部分已经被其他答案总结了。有些总结的很好,基本是平时常用的句子。我每天发三四十封英文邮件(其中不乏长邮件),发了十年。所以也想拾人牙慧,狗尾续貂。与其他人回答不同,我先列英文句子,再解释这句话可以在什么情况下使用。工作内容篇1.
Sorry for any inconvenience caused.工作中总不乏要出各种失误和错误。但是不建议跟客户“直截了当”地道歉(在日企/日本人客户除外),比如"I apologize for ...
" 或者"It is my mistake that... "。 这是因为你一旦如此明显的道歉,那么如果出了问题就是你的责任,就是你公司的责任。尤其对于从事咨询行业的你来说,这一点是比较致命的。所以如果你出了小差错(比如发错邮件、搞错时间地点、文件里有地方写错等等),那么最好的方式就是再发一个邮件加以纠正,结尾加上 "Sorry for any inconvenience caused".
这样既得体,又避免了直接把所有责任都揽到你身上。但是,如果是一项重大失误,那么这句客套话的份量就不够了。这时候最妥当的方式是和你的上级商量补救方式以及如何回复对方,而不是忙不迭的跟对方说“my sincere apology..."。 Again,这是涉及到责任归属问题,除非责任明确属于你或者你公司,否则不要直截了当的道歉。有时候,如果你觉得给别人发邮件要求别人做什么事情是在麻烦对方,也可以加上这句话。但是,如果是同事之间,下属和老板之间,出了错就要大方承认,没必要使用这句客套话。2.

I will be on vacation / I will be on annual leave / I will be travelling next week英语中的nuance是令人惊叹的。上述这三种说法都是表示你下星期休假,但却是对不同的人说的:on vacation一般是对同事或比较亲密的人说的。意思就是你去度假了,是一种直白的表达。on annual leave一般是对客户、工作伙伴或比较疏远的人说的。因为annual leave是个中性词,谁也不知道你为什么要休年假——可能是因为度假,也可能是家里有事。而一般西方社会比较尊重别人的annual leave,所以你这么说了别人就懂了I will be travelling是比较圆滑的说法,因为你也可能是因为出差而travelling。一般这么说的情况就是你不想让别人知道你的行踪,也不想让对方知道你休假;但travelling会导致收邮件、接电话受到限制,这个别人也懂了。说到这个程度就可以了,别人出于尊重隐私一般不会追问。免责声明篇1.

有个概念上的误区影响了我好几年。从前我一直以为邮件是个正式的交流方式,只有组织好想法、写出完整段落才可以发邮件,就像写信一样。等我进入主要用邮件交流的环境里读书、工作,才明白邮件其实更像短信,最重要的功能是告知对方你的进度(managing expectations,即“管理对方的预期”)。越是依赖邮箱的环境,邮件就越像短信,需要即时、简洁,传达要求和任务完成情况,而文字并不用客气、漂亮。一开始没理解这个概念,犯了不少错。比如勤快干活却被误会:早上老板邮件通知我写一份报告的初稿。我埋头就开始做,想下班前给老板发个提纲,请他提意见。我想,老板那么忙,我发邮件肯定得慎重,那就等提纲写好再发吧。可是下午,老板走到我身边问,你一早上在做什么呢,查查邮箱,我布置任务给你了。我连忙解释说他邮件刚发出我就看了,现在提纲已经快写完。老板说,那你要回我邮件啊,不然我怎么知道你已经开始做了。今天下午我有会,没时间看提纲,你明天直接把初稿给我吧。再比如同时被不同的人布置很多任务,没有发邮件,结果耽误进度:过去几天我一直在做老板 A 布置的任务,可有一天早上,老板 B 发邮件布置了新任务。我想,邮件里跟老板 B 肯定解释不清,而且显得我能力不足。反正我手头上的事最多再有半天就做完了,那时候我再回复老板 B 吧。结果不巧,剩下那些 A 布置的活比我预期的要难,我花了一天才做完。晚上,刚准备留下做老板 B 的活,就收到他的邮件,问我做的怎么样了。我急忙打电话向他解释了情况。他说,那你应该早点告诉我,我这个今晚就要。早知道你在做别的事,我就安排其他人了。上面两种情况都是我缺乏主动沟通,错以为发邮件会“打扰”到工作繁忙的老板或者显得我不会处理事情。其实,他们最想要的是我即时的回复,告知他们我是否能完成任务、预计何时能完成、需要哪些帮助。所以要说“拯救英文邮件”,那就必须得是下面这些短句。且只需要这些短句就够了,邮件里不需要 “Dear XYZ”,“Hi ABC”,“Regards” 这类同陌生人里邮件必要的寒暄客套。另外,在发件人可以看到收件人是否已读邮件的工作环境里,你也需要这样的简短回复,告知进度。如果你给人做事:Will do. 好的,我会去做。On it now! 我现在就开始做!Will send over a draft by the end of the day. 下班前会给您初稿。I'm having trouble accessing XYZ's site. Will get back to you next Monday. 我这周出差。下周一给你答复。Cc'ing our colleague in HK who will help you on this matter. 我不是负责这事的,我现在在邮件里 cc 我们香港的同事,他会帮你。上面的句子很多没有主语,乍一看也不礼貌,更没有“亲爱的某某”,“祝好”这类客气话。但公司、学校的内部沟通,很多时候要的就是这种简洁的进度更新。永远不要因为怕打扰或者怕邮件里说不清就不发邮件,永远不要假定你的老板、老师、同事、下属知道你在干什么,遇到问题要积极沟通而不是埋头干活,比没能按时完成任务更糟糕的是没有提前知会老板。当然,各个地方邮件文化不同,到新环境里可以先按照礼貌格式发邮件,后根据情况调整。不过邮件的定义还是不变的,它更像短信而非平邮,目的是告知进度、反馈问题。我们不需要组织好完整、大段的文字再发。--其他英语话题下的回答:

楼上各位大神的句子我都兴奋地右键啦,但是好像没有看见特别多用于给negative response的英文邮件句子,所以结合自己经验来补充一些写拒绝邮件的常用句子和模板。因为读书和工作的关系,我近几年来的每一天都是被英文邮件炸到脑袋疼。经过最初的一段练习时间后,我写英文邮件的水平和速度都有了很大提高,但是唯独有一种邮件依然能每次都让我感到非常头大——那就是写邮件来拒绝别人。由于各种各样的原因,你可能经常要拒绝客户、拒绝合作伙伴、拒绝你的同事或组织、甚至拒绝的你的supervisor、大老板……作为一个天然以满足他人为己任的天秤座老好人,拒绝别人的要求永远会让我自己feel bad,所以我总结出了一套比较简单但又比较明确的邮件say no法,能让对方感到你的拒绝情有可原又礼貌,你还是那个他/她认识的乐于助人又超级nice的靠谱同事,也可以让你自己感到比较心安理得。进入正题。事情是这样的:你收到了一个要求,由于种种公司或个人原因,你感到无力完成。有可能是老板扔给了你一个特别大的任务,而你手头上有特别多事;也有可能是客户邀请你见面,然而你却要去休假;或者是有人要求你帮忙完成一件事,然而却有可能违反一些规定。不管是哪一种情况,记住一点:1. 绝对不要马上回复。花点时间想明白以下几个问题。很多公司都有一个24hr/或XXhr reply policy,所以在你愤怒/桑心/委屈地打出no并发出邮件之前,三思以下这几点:事情的priority、对方的request的意图——他/她到底想让你完成的是哪些东西、完成这个request所必须的commitment,以及你拒绝该要求的合适理由。priority的重要性其实不必多说大家应该都懂。你司在最焦头烂额生死攸关的时候需要你来承担责任,然而你却要去休假;或者大老板扔给你一个超重要任务,然而你忙于小老板布置给你的杂七杂八的事情,所以你果断地告诉大老板不行我没空——这种事情发生的话估计老板应该会直接开除你吧。对方的request的意图——这一点其实很容易被忽略的。我们都不是native speaker,有的时候对英文邮件的画外音不会那么敏感。而且如果写邮件的对方也不是native speaker, 那也有很大的可能会有miscommunication。完成这个request所必须的commitment——这一点是为了让你和自己确认一遍:你真的完不成这个任务吗?你真的要拒绝吗?真的吗?的吗?吗?如果你的答案是:对我就是这么残忍,那请继续往下看。同时记得,如果你真的决定一定要拒绝了,那邮件中间就不要留有大的余地,清楚地say no,不要让对方有argue back的空间。更糟糕的是,如果对方argue back之后,你又勉为其难地答应了,那对方会觉得你是个超好说话超好唬的人,以后又有没人想干的活就都扔给你,because your "no" doesn't carry any weight.因此我的建议是:在邮件正文的第一句,重述一遍你对request的理解——不要复制黏贴对方原话,用你自己的话,清晰、简单地说出来。这样也能够让对方觉得,你是有认真理解,认真考虑过对方的要求了。(当然,前面可以有简单的greeting)给几个例子:If I'm understanding your email/request correctly, you are asking for/asking our team to……I believe that you are requesting......第二句,告诉对方你需要多少时间/精力才能完成这件事情, give the requestor an idea of the time and effort needed to complete the task。如:In order to complete that request, I would need......In order to maintain the high quality standard of our company/center/department, I would need ......Taken together with my current responsibilities, this request would take 3-4 business days.我个人比较喜欢第三个例子,因为会给人一种你特别忙的感觉哈哈哈~接下来,清晰礼貌地陈述出因为什么样的原因导致你不能完成这个任务。不要留很大余地,也不要过于婉转。我就碰到过有一次,有一个同事想叫我周末加班帮忙一个活动,但我有自己的安排所以打算拒绝。结果因为我邮件写得比较婉转(I would love to help you with XXX but XXX) 结果对方习惯用手机查邮件,看了前几个字是would love to就没看下去,默认我会过来帮忙了。。。。。后来搞得特别尴尬。。。。如果你真的很喜欢这么写的话,请把转折词放在句首,比如 While I would love to help you with......不能完成对方要求的原因多种多样,我在这里把最常用的几种拒绝情况分一个类,每一类也给几个例子:如果对方的要求不在你职责之内:Unfortunately, your request as I understand it would conflict with our XXX policy, which states that......At this time, our XXX does not handle these kinds of requests.如果是时间上的问题:Given the time limitations/my current workload/responsibilities, I will not be able to fulfill/take on this request at this time.As I will be on leave during XXXX, I will not be able to complete your request before ......其他原因:Due to limited resources available at this time, I will not be able to...Since our department presently has XX people on staff, we do not have sufficient manpower to......第三,不管你前面怎么用礼貌地用语,拒绝别人总会显得有点。。无礼。那这时候给对方提供一个alternative的选项,语气就会柔和很多。而且,对方如果抓到另一根救命稻草,再跑回来缠着你说服你的可能性就大大降低了。当然,如果实在没有plan B,你也可以加一句,下次有类似任务的时候如果能提前X天告知我,我将会十分感谢blabla,类似的场面话。比如,你可以建议对方找一个更合适的人选:While I/our department will not be able to help you with this request, you may contact XXX, who is the (title here) at (contact info).或者建议换个时间:While I will not be able to work on this (time period), I would be able to help with your request after XXX.As we are approaching the end of the year/financial year/etc., it would be better to resubmit your request in August when ......其他建议:Our department will be able to process future requests of this nature if given a 5-business-day noticeWhile I cannot XX this document/etc. in its entirety, I can XX the main points/parts so that you can move forward with......欢迎补充其他可能需要面临的拒绝情况~到时候会在答案里update!

主动语态虽写please approve但是它还是个祈使句,而被动句就不需要由你将动作指向他人。2.规避责任

上句指向了人,造成不便的是we,而下句并没有。
